– Stallholder Criteria

We are curating a beautifully styled market that celebrates the charm of classic European country life — where timeless antiques, artisan wares, and thoughtfully crafted goods come together in a warm and nostalgic setting.

Our ideal stallholders are those who value craftsmanship, heritage, and presentation, and whose offerings align with the aesthetic of a traditional European country market.

While our ideal stallholder clearly fits one or more of the above criteria, we are always open to hearing from others who feel their products align with the heart and aesthetic of the market. If you believe your stall would be a beautiful fit, we’d love to hear from you.

  • Carefully crafted items made by hand, whether stitched, carved, poured, or painted. Products should show skill, originality, and pride in the making.

  • Authentic vintage (20 years or older) and antique pieces that reflect European styles and traditions. French provincial, English cottage, or Scandinavian farmhouse are ideal. All items should be clean, well-cared-for, and styled attractively to highlight their charm and history.

  • Products made in small quantities using traditional methods and natural materials. Examples include:

    • Preserves, teas, honey, or baked goods

    • Handmade soaps, candles, or skincare

    • Ceramics, handwoven textiles, or artisan woodwork

  • Goods inspired by the warmth and simplicity of country life. Think gingham, linen, enamelware, timber, florals, stoneware, and homewares with rustic or nostalgic charm.

  • Pieces with a humble, practical beauty rooted in rural life. This could include old farm tools, milk jugs, baskets, vintage crates, or items with a naturally weathered, earthy appeal.

  • Vintage or pre-loved goods that have been creatively restored, repurposed, or given a new life. Must be thoughtfully designed and in keeping with the market’s overall tone.

  • Inspired by the markets of rural France, England, and other parts of Europe. Soft palettes, natural textures, vintage florals, timeworn finishes, linen, baskets, and quiet elegance are all welcome.

  • Products or demonstrations that reflect traditional skills or slow-living values. This includes spinning, weaving, preserving, natural cleaning, herbal remedies, or homemade staples.

  • We welcome stallholders offering potted plants, vintage garden tools, dried flowers, seeds, handmade planters, or seasonally styled florals. Displays should suit the market’s rustic and romantic tone, with a nod to potting sheds, cottage gardens, and European floristry.

  • We encourage stalls with festive character and warmth. Handmade or vintage-inspired Christmas décor such as wreaths, ornaments, garlands, seasonal baking, and natural table decorations are all welcome.

  • Whether handmade or vintage, or something not on this list, we’re always open to finding out more. If you think your stall would be a great fit, let us know! We’re always interested in stalls that are well-crafted or well-cared-for, with a sense of story, substance, and charm that reflects the heart of the market.


sTandard terms & conditions

1.0 THE MARKET 

  1. The market will be held on Saturday 15th November 2025.

  2. The market will be open to the public from 10:00am until 3:00pm.

  3. Beacon Hill is a curated market. Applications for the Vintage Christmas Market will be reviewed after the 31st of August. Acceptance is not guaranteed and is based on factors such as product quality, type, alignment with market values, and diversity across vendors. Applications will be considered collectively to ensure balance. Beacon Hill reserves the right to accept or decline any application at its sole discretion.

2.0 FEES

  1. Our general stall fee is $95.00 per site. Each site is 3m x 3m site. Your stall must be contained within your allocated space.

  2. Food stall fees are $130.00 per site. Stall sites will be arranged with market management per the needs of the vendor where possible.

  3. Standard sites with power incur an additional surcharge of $15.00 per site. Power is limited and must be requested at the time of application.

  4. An additional 3m x 3m site is available for an additional charge of $95.00

  5. A limited number of smaller or larger sites may be available at the discretion of the market management. These can be arranged in consultation with the market organisers at the above contact details (see page 1, ‘Market Details’).

  6. Payment of the stall fees is required to secure your site in the market. Registration is not complete until fees have been paid in full.

  7. Stallholders must pay their site fee within 7 days of receiving an acceptance email, unless otherwise arranged in writing. If payment has not been received within this timeframe and reasonable attempts at contact have been unsuccessful, Beacon Hill reserves the right to cancel the stallholder’s site allocation and offer it to another applicant. Non-payment may also impact future application approvals.

  8. Fees may be reviewed by Beacon Hill from time to time. Reasonable notice will be given to stallholders prior to any change in fees.

3.0 PAYMENTS

  1. Payment by Internet Banking or Direct Deposit: include VCM25 under particulars, and the stall name as references

  1. Payment In Person: The store is open Thursday & Friday from 10:00am – 4:00pm, or Saturday from 10:00am- 2:00pm. Eftpos, Credit Card and Cash are available payment options. Please note; a 2% surcharge applies for credit card fees.

4.0 SET UP & PACK DOWN

  1. The market area will be available for set up from 7:00am on the day of the market onwards.

  2. If you need to view your site space prior to the market, a time to do so must be requested in advance via email and will be at the discretion of Beacon Hill. Please note that due to the nature of the property, viewings in advance may not be possible.

  3. Stallholders may request to deliver and set up bulky equipment (such as gazebos or tables) the evening prior to the market. This must be pre-arranged with Beacon Hill and is subject to approval. Any items left on site overnight are left entirely at the stallholder’s own risk. Beacon Hill accepts no responsibility for theft, damage, or weather-related loss to goods or equipment left unattended. By choosing to set up early, stallholders agree to indemnify Beacon Hill from any associated claims or liabilities.

  4. Stall setup arrival times are staggered to allow each vendor the opportunity to access their site and unload goods or equipment. Arrival times will be communicated with stall holders the week prior to the market date.

  5. Stall holders must ensure that they arrive at the designated time. If stall holders have not arrived by their designated time and there has been no communication, then that stallholder may forfeit their space with no refund. If the setup time given is not suitable, communication must be made with market organisers prior to the market day. 

  6. Vehicles must be removed from the market space by 9:15am and parked in the designated stall holder parking zone.

  7. Stalls must be ready for trade from 9:30am.

  8. Stall holders must not pack up or show any intent on packing up before 3:00pm on market day.

  9. All stall holders must supply any required equipment including but not limited to tables, umbrellas and gazebos. Power sites are strictly limited and are only available by prior arrangement.

  10. Stallholders are responsible for preparing for all weather conditions, including wind and light rain. Gazebos must be properly secured with sufficient weights. Beacon Hill takes no responsibility for damage caused by weather-related incidents due to inadequate stall setup.

  11. All rubbish and equipment must be removed from site by stall holders at the conclusion of the market. No rubbish is to be left on site and the stall holder must take responsibility for its disposal.

5.0 STALL PRODUCT

  1. All stall holders and products must be approved by Beacon Hill to verify that any goods are appropriate and suitable for sale and comply with the authenticity of the market.

  2. Stall holders are not permitted to vary the goods offered for sale from those already approved by Beacon Hill, unless prior consent is obtained from Beacon Hill.

  3. Due to the nature of the Market, exclusivity of the sale of goods is not available; however Beacon Hill will endeavour to limit the number of stall holders selling similar products.

  4. All products or goods for sale must comply with any legal requirements.

  5. Products that cannot be sold include, but are not limited to:

    1. Live birds or animals

    2. Fake or copies of designer brand-named goods

    3. Weapons

    4. Items associated with the illegal use of drugs

    5. Offensive, counterfeit or unauthorised products

    6. Items related to spiritual or mystical practices that do not align with the family-oriented and faith-informed values of our venue are not permitted. This may include, but is not limited to, divination tools, spell-related products, and items referencing witchcraft or similar traditions. Vendors unsure about specific products should seek prior approval from Beacon Hill management.

    7. Cheap imported goods (the stallholder must have some part in the design/making of their goods)

    8. Items that the market management may consider unsuitable for the market

  6. Goods for sale must not be hawked around the market area; all selling must be done from your site. Pamphlets, flyers or advertising material cannot be distributed around the Market or placed on vehicles.

  7. All products intended for sale must be listed in the application. Additional or new products cannot be sold without prior written approval from Beacon Hill. Vendors may be asked to remove any unapproved items from their stall on the day.

6.0 GENERAL

  1. Site placement shall be determined at the sole discretion of Beacon Hill. All site placements or continued hire for following markets is at the discretion of Beacon Hill.

  2. The stallholder will be responsible for maintaining their area in a proper manner and to the reasonable requirements of market management.

  3. Stall holder contracts and sites are not transferable or assignable. Any transfer, assignment or sale (or attempts to do so) of any stall holder contract or site reservation will result in immediate termination.

  4. Except in any case of Beacon Hill’s wilful misconduct or negligence, Beacon Hill is not responsible for or liable to the stall holder for any loss or damage caused or sustained in any way to, or for any theft or loss of, any equipment or fittings used or in the care of the stall holders at the market.

  5. No smoking, no dogs and no consumption of alcohol is permitted by stall holders on site.

  6. Raffles are not permitted from stalls except if prior approval has been obtained from the market organisers.

  7. Under no circumstances are vehicles to enter into the market area before 3pm for safety reasons.

7.0 CANCELLATIONS

  1. Any stall cancellations must be communicated to Beacon Hill by noon 14 days before the market day. Failure to notify of cancellation may result in the termination of the stall holder contract and any paid fees may not be refunded.

  2. A portion of the stallholder fee will be retained as an administration fee based on the timing of cancellation:
    Early Cancellation (15+ days before the market date) – A $30 administration fee will be deducted, and the remainder of the fee will be refunded.
    Late Cancellation (within 14 days of the market date) – A $60 administration fee will be deducted, and the remainder of the fee will be refunded.
    • Last-Minute Cancellation (within 5 days of the market date) – No refund will be issued.

  3. If a stallholder fails to notify of cancellation before market day or does not attend, no refund will be issued.

  4. Repeated cancellations, no-shows, or failure to communicate in a timely manner may affect a stallholder’s eligibility for future markets. Beacon Hill reserves the right to decline applications from vendors who have previously cancelled without sufficient notice, failed to pay on time, or not complied with the terms outlined in this agreement.

  5. Extreme weather events (e.g., heavy rain warnings—not light scattered showers) may result in the postponement of the market to the following weekend. The decision will be made by Beacon Hill and communicated via email, Instagram, and Facebook 24 hours prior.

  6. If an event occurs beyond the organiser’s control that results in the cancellation of the market, a $60 administration fee will be retained. The remaining stall fee will be refunded, and the stallholder will receive 50% off their site fee for a future market. This discount must be used within 12 months of the original market date. This policy accounts for the extensive preparation involved in organizing the market.

  7. The market is an all-weather event and will proceed in light rain or scattered showers. However, in the event of extreme weather conditions or unforeseen circumstances that arise after the market has commenced, market management reserves the right to close the event early or cancel trading for safety reasons.

  8. This decision will be made at the sole discretion of Beacon Hill Estate management. No refunds will be issued if the market is canceled after it has started, as costs associated with the event have already been incurred. Vendors are encouraged to come prepared for varying weather conditions.

8.0 INDEMNITY BY THE STALLHOLDER

The stallholder agrees to indemnify Beacon Hill against all claims, actions, losses, and expenses arising from:

  1. Neglect, careless use, or misuse by the stallholder or persons under their control of the area, property, or related services.

  2. Any accidents or property damage, or injuries to any person, resulting from incidents occurring in or near the area, partially or wholly due to actions or oversights by the stallholder or persons under their control.

9.0 PRIVACY ACT

In Terms of the Privacy Act 1993 you are given notice that:

  1. This application form asks you to provide personal information

  2. The information is being collected on this form by The Venue and is required so that The Venue can gather the information necessary to organise the hire of our venue to you

  3. The intended recipient of this information is Beacon Hill Estate (Events) whose name appears at the top of this form

  4. We advise that you have the right to see the information we hold about you and to correct that information if it is incorrect

  5. In the event that the Venue is required to carry out a reference, identification verification and/or credit check then the Venue is obliged by law to retain the record of that application. 

AGREEMENT

As the stallholder, I acknowledge and agree to the following terms:

In reviewing stall holder applications, Beacon Hill considers several factors, including but not limited to:

The type of products being sold.

The number of other stallholders offering similar products.

The impact on local businesses.

Market stall availability is limited, and the decision to accept or reject applications rests solely with market management. Acceptance is contingent upon the information provided in the application, adherence to product guidelines, past market participation, product quality, and site availability. Beacon Hill is not obligated to provide reasons for declining an application.

If market management determines that a stall or its presentation is unsuitable or detracts from the overall market aesthetic, the application may be rejected. The disclosure of such decisions is at the discretion of Beacon Hill management.

I have reviewed and agree to abide by the terms and conditions outlined in the stallholder application. Should my application for a stallholder contract be approved by Beacon Hill, I understand that these terms will govern our agreement.
